1. Who we are
PlotVerify Inc. (“PlotVerify”, “we”) provides independent land verification for people buying land in Uganda. We are based in Toronto, Canada. Questions about privacy can be sent to info@plotverify.com.
2. What we collect
- Contact details you give us: your name, email address, WhatsApp number and the country you live in.
- Property details: the plot’s location, size, price, tenure and any notes you share in a quote request.
- Documents you choose to send us, such as a copy of a title, sale agreement, survey plan or the seller’s details.
- Messages you send us by email or WhatsApp.
- Newsletter sign-ups: your email address, if you subscribe.
- Basic technical data, such as approximate location and device type, used only to count visits to the site.
Please don’t send us payment card numbers or identity documents unless we ask for them for a specific verification.
3. How we use it
- To reply to your enquiry and prepare a quote.
- To carry out the verification you ask for and deliver your report.
- To send you updates you have subscribed to.
- To keep records required by law.
We do not use automated decision-making or profiling.
4. Who we share it with
We share information only where needed to provide the service:
- Our field partner in Uganda, Fortress Estate Partners Ltd, which carries out registry searches, site visits and local enquiries. They receive the plot details and documents needed for that work, and are required to keep them confidential.
- Professionals working on your verification, such as surveyors or advocates, where your package includes that review.
- Service providers that run our website, email and messaging.
- Authorities, where the law requires it.
Carrying out a verification involves asking public registries, local councils and neighbours about the plot. We do not tell them more about you than the work requires. We never sell your information or share it with advertisers or data brokers.
5. Legal basis
Under Canada’s PIPEDA, the UK and EU GDPR and Uganda’s Data Protection and Privacy Act, we process your information with your consent and, once you ask us for a quote or service, to perform that service. You can withdraw consent at any time; this may mean we cannot complete a verification.
6. How long we keep it
We keep enquiry details for up to 12 months if you don’t go ahead. For completed verifications, we keep the report and supporting records for up to 7 years, so we can answer questions about the findings and meet legal obligations. You can ask us to delete your information sooner, subject to any legal requirement to keep it.
7. Your rights
You can ask to see the information we hold about you, correct it, delete it, or stop receiving messages, by emailing info@plotverify.com. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada, your local data protection authority in the UK or EU, or Uganda’s Personal Data Protection Office.
8. Security
We take reasonable steps to protect your information, including limiting who can access it. No method of sending or storing information online is completely secure, so we cannot guarantee absolute security.
9. Cookies
This site does not use advertising or tracking cookies. It uses only what is strictly needed for the site to work. Fonts are loaded from Google Fonts, which may record basic technical information such as your IP address.
10. Changes to this policy
We will update the date at the top of this page when we change this policy. If a change materially affects how we use your information, we will tell clients and subscribers by email.
